Position Summary:
This position of Assistant to the Dean/Fiscal Manager will support the academic programs in the School of Hospitality (SOH).

This position exists to work closely with the SOH Dean and Department Chair. This position provides executive-level administrative support to the SOH Dean as well as leadership and oversight of daily administrative operations in the School of Hospitality. The position also supervises student workers and fields requests pertaining to office functions.

This position will also provide fiscal support to the SOH by managing financial resources allocated to the school for professional staff, support staff, supplies, travel, capital outlay and summer revenue. This position guides all aspects of departmental finances, policy analysis and review, collaboration on financial strategic planning, and provides input into financial decision-making with regard to program goals and priorities.

The University is particularly interested in applicants who have experience working with students from diverse backgrounds and a demonstrated commitment to improving access to higher education for under-represented groups.


Duties/Responsibilities:
40% This position provides assistance to the Dean by managing the Deans calendar and schedule, prioritizing appointments, responding to phone calls and other communications for the Dean and the School, greeting and directing visitors, scheduling appointments for faculty, routing forms for signature, and resolving a variety of issues relating to the functioning of a Deans office. This position is also one of the first points of contact for students seeking information about School of Hospitality programs. As such, this position answers phones and emails, provides physical and procedural directions, consults other offices within the University, and directs students to the appropriate office. This position will be responsible for data retrieval and analysis on a variety of topics.

20% This position will also oversee financial budget and fiscal operation for the School of Hospitality. Formulates annual operating budget using historical data and spending trends. Factors in one-time requests for new projects and deletions from failed or discontinued operations. Determines needed department financial increases or decreases based on current analysis and historical trends.

10% Monitors daily operating activities in conjunction with the university policies, and procedures and the State of Colorado fiscal policies (GASB). Oversees all School of Hospitality financial activity from general operating budgets to indirect cost recovery and auxiliary funds to grants, foundation funding, program fees and summer revenue.

20% Develops, approves, maintains, analyzes and tracks all budget expenditures and finances for each department within the school, professional development budget, the travel budget, the Foundation budget, the Indirect cost recovery budget, accreditation budget, summer revenue and petty cash funds to ensure that all budgetary principles, rules, regulations, policies, and precedents are maintained. This includes making budgetary adjustments, recommending supplemental requests, and reconciliation.

10% This position will also supervise student workers, organize their tasks, and coordinate front desk coverage based on need, student schedules, and funds.


Required Qualifications:
Bachelors Degree
Three years experience with budget management, preparing reports, and administrative support
Ability to effectively communicate professionally
Experience with Microsoft Office Suite to include the ability to do Excel formulas and pivot tables.
Experience using and analyzing data within spreadsheets and databases.

Preference will be given to candidates with experience in the following areas:
Higher education work experience
Experience working with Banner
Experience working with BI Launchpad (EDW)
Experience with using Microsoft Teams
